Job Description: Office Manager

Location: Parkmore, Galway


Key Objective/s:

  • Responsible for the day-to-day supervision of administrative and sales support employees to ensure effective office support in Parkmore.
  • Responsible for the efficient operation of in-house I.T. Systems ensuring that appropriate training is carried out.

Principal Duties

  • Assign and monitor administrative and sales support activities to ensure that they are coordinated in a consistent manner.
  • Ensure that both sales and margin are maximized in Parkmore.
  • Prepare work schedules for administrative employees ensuring that critical functions such as telephones, mail preparation (including mail shots) and customer service are dealt with professionally and in accordance with Company customer service standards.
  • Manage the rostering of staff.
  • Monitoring of holidays and timesheets for office staff for the weekly Payroll.
  • Responsible for maintaining inventory of office supplies to prescribed procedures and contractual agreements.
  • Sets standards for office procedures by providing training and support as necessary through induction and ongoing training.
  • Manages and motivates the team so that they are effective and professional in their dealing with customers and administrative tasks.
  • Co-ordinates the assignment of office space, computers, furniture and equipment.

Other duties associated with the role

  1. Report and monitor phone answering.
  2. Liaising with drivers where necessary to resolve issues.
  3. Office staff disciplinaries in conjunction with the HR Manager.
  4. Making sure that all deadlines including month end are met.
  5. Other ad hoc work which may arise
